Site survey before a quote: why it is needed and what it includes

A thorough survey helps quotes match reality and avoids extras during delivery. Here is what a factory should prepare.
When a factory needs cleaning, landscaping, maintenance or canteen services, the first question is usually cost. A trustworthy figure can only come from seeing the site with your own eyes.
A quote built from a few lines of description over the phone easily misses items or overstates resources. A site survey helps both sides see the same picture before signing.
Why a survey is needed
Every site is different
Two factory halls of the same size can need very different plans: floor type, dust levels, machinery density and forklift and truck traffic all affect the method and the resources to be assigned.
Limiting extras during delivery
When the scope is set on site, items easily overlooked — such as staging areas, secondary roads or shared areas — are included from the start.
Agreeing acceptance criteria
Walking the site together is the best time to agree what ‘done’ means: what state floors, roads, greenery or meals must reach, and how they will be checked.
A good quote is one that does not need adjusting after work starts.
What a survey covers
- Walk the site covering the areas to be served: factory halls, warehouses, ports, internal roads, campuses, canteens.
- Record shifts and peak hours, so schedules do not disrupt production.
- Discuss safety rules: restricted areas, protective-equipment requirements, access procedures.
- Agree priorities and acceptance criteria for each area.
What the factory should prepare
- A site plan or a list of areas needing service.
- Desired frequency and expected start date.
- Shift schedules, mealtimes and expected meal numbers, if canteen service is needed.
- Safety rules and factory access procedures.
- A point of contact on the factory side for discussion during the work.
After the survey
Based on the survey results, Đời Sống Xanh sends a proposal covering scope, frequency, staffing, vehicles, acceptance criteria and a detailed quote. Both sides review and adjust it before agreeing the plan.
